1. Scope
This policy applies to trey.coach and the Trey.Coach client portal, including public coaching pages, contact and booking forms, private onboarding and coaching forms, accountability email and SMS check-ins, private meditation shares, Evoke Your Clarity, meditations, The Way Within deck, account features, saved client progress, Ask Trey chat, and phone or browser-call support.
CoachPrep is a separate Trey.Coach LLC service with its own privacy, cookie, and terms pages. This policy does not describe CoachPrep study accounts, exam practice, mentor-coaching forms, or CoachPrep support records.
2. Information we collect
The information Trey.Coach collects depends on the feature you choose to use. You can browse most public pages and use public reflection tools without creating an account.
- Contact requests: name, email address, selected topic, message, page, referring page, browser identifier, submission time, and a one-way hash of the network address used for spam and rate-limit checks.
- Clarity toolkit delivery: first name, email address, toolkit result, disclosed consent to receive the toolkit and occasional clarity notes, page, referring page, browser identifier, submission time, and a one-way network-address hash. The three quiz choices are used to determine the result; the result key is included with the delivery record.
- Bookings: name, email address, time zone, selected appointment, optional discussion notes, meeting type, and the Google Calendar or Zoom identifiers and meeting link created for the appointment.
- Accounts: name, email address, verification and recovery status, user identifier, and role. Amazon Cognito processes passwords and verification codes; Trey.Coach does not receive your password in readable form.
- Client portal records: profile information, upcoming and past sessions, milestones, assigned tools, completion status, dates, and reflections you choose to save.
- Accountability messaging: goals and schedules you create, check-in responses, delivery channel, mobile number when supplied, SMS consent status, the disclosure version presented, consent and withdrawal timestamps, message identifiers, and delivery status. SMS enrollment is optional.
- Private coaching forms: recipient name and email, requested completion date, personal note from Trey, the versioned questions or agreement text presented, opening and delivery status, answers, typed electronic acknowledgment when required, and submission timestamps.
- Private meditation shares: recipient name and email, the meditation selected, Trey's optional note, link expiration, delivery and opening status, download count, and download timestamps.
- Meditation activity stored on your device: favorites, timer and guided-session history, last-played meditation, listening time, and the last timer duration.
- Ask Trey chat: name, optional email address, optional marketing choice, the page where chat began, messages, chat metadata, AI-generated responses, and any structured support request prepared for Trey.
- Phone and browser-call support: telephone number when available, call metadata, menu choices, microphone audio you provide, call recording, transcript, automated summary, and support details. Calls are recorded and transcribed only after an announcement.
- Technical and security information: server and API logs, browser or device details, failures, timestamps, and limited network information used to operate, secure, and troubleshoot the service.
3. How we use information
We use information to deliver requested toolkits, send and administer private coaching forms and meditation shares, schedule and process requested accountability check-ins and replies, respond to messages, schedule and administer appointments, create calendar events and video meetings, authenticate accounts, show client progress, save requested reflections, operate the meditation experience, provide Ask Trey support, prevent abuse, troubleshoot problems, protect the service, comply with law, and maintain appropriate business and coaching records.
Requesting the Evoke Your Clarity toolkit through its email-delivery form enrolls the submitted address in occasional clarity notes, as disclosed next to the submit button. Every marketing email includes an unsubscribe option. Starting Ask Trey does not enroll you in marketing unless you select its separate optional choice and confirm the private link. Transactional messages needed to deliver a private form or meditation share, verify an account, confirm a booking, notify Trey of a completed form, or respond to a request are not marketing messages.
4. Browser storage
Trey.Coach uses local browser storage for features you request. Meditation pages store favorites, session history, last-played audio, listening time, and timer preference under keys beginning with ms.v1. After a toolkit request, Evoke Your Clarity may remember the submitted first name and email address in eycForm so the form can be restored on the same device.
When you sign in, the AWS Amplify and Amazon Cognito authentication libraries store the tokens and session information needed to keep the account signed in. These authentication records are necessary for the client portal. Browser copies remain until you sign out, clear site data, the session expires, or your browser removes them.

5. Contact, Ask Trey, and clarity toolkit requests
Contact and toolkit submissions are validated for abuse prevention, stored in Trey.Coach's AWS environment, and sent to Trey by email. A toolkit request records the disclosed email subscription when the form is submitted. An Ask Trey marketing request remains pending until the recipient uses a private email-confirmation link. Preferences are stored in the central subscriber-preference table and sent to the configured contact-management endpoint so the request and preference can be maintained.
Do not include passwords, payment-card details, health records, private coaching-session notes, or confidential information about another person in a public contact, Ask Trey, or toolkit form.
6. Booking, calendar, and video meetings
When you book a meeting, Trey.Coach stores the appointment and sends the information needed to create an event in Trey's Google Calendar. If Zoom is connected, the site also sends the appointment time and attendee email address to Zoom to create the video meeting. A calendar invitation and meeting link may be emailed to you by those services.
Links that let you add a confirmed appointment to Google Calendar, Outlook, Apple Calendar, or another calendar are optional. If you follow an external calendar link, that provider's terms and privacy practices apply.
7. Accounts and client progress
Amazon Cognito handles signup, email verification, sign-in, password reset, and authentication. Account-linked profile, session, milestone, assigned-tool, completion, and reflection records are stored in an encrypted Amazon DynamoDB table and returned only through authenticated portal requests.
Private coaching forms use a high-entropy bearer link intended only for the named recipient. A recipient may open the link without an account; signed-in clients may also see forms matched to their account email. Do not forward a private form link. Form definitions, delivery history, responses, and electronic acknowledgment evidence are stored in the encrypted client-portal data table and available to authorized coaching staff.
Private meditation shares use a high-entropy bearer link that expires and can be revoked. The named recipient may listen or download without an account. Do not forward the link. The audio source is served through the private link, while delivery, opening, expiration, and download activity are stored in the encrypted client-portal data table for authorized coaching staff.
Accountability SMS is optional. If you enroll, Trey.Coach records the mobile number, the consent language version, and the time you consent or withdraw. Automated check-ins may include the goal wording you provide, so do not place sensitive health, financial, employment, or other confidential information in a goal intended for SMS.
Keep your login credentials private. Do not save a reflection that contains information you do not want associated with your account.
8. Ask Trey AI support
Ask Trey chat and the automated phone or browser-call receptionist use Amazon Web Services contact-center, speech, transcription, and AI services to answer public questions and prepare a support request for Trey to review. The assistant cannot inspect or change your account, booking, payment, portal access, or private coaching records.
Chats are retained as support records. Phone and browser calls are recorded and transcribed only after an announcement. These channels are not private coaching sessions, therapy, crisis care, or emergency-response services.
Do not provide passwords, verification codes, complete card or bank details, health information, private coaching notes, or confidential information about a client or another person through an automated channel.
9. When we share information
Trey.Coach does not sell personal information and does not use advertising, retargeting, social tracking, or cross-context behavioral advertising cookies.
Information is shared only as needed with providers that support hosting, authentication, databases, email and SMS delivery, booking, calendars, video meetings, contact management, telephone and browser calling, call recording, transcription, AI-assisted support, security, and diagnostics. Current core providers include Amazon Web Services, Google Calendar, and Zoom. Each provider handles information under its own terms and privacy practices.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be shared with third parties, except service providers that support message delivery and are prohibited from using that information for their own marketing or unrelated purposes.
Information may also be disclosed when required by law, to protect rights and safety, with your direction or consent, or as part of a business transaction subject to appropriate safeguards.
10. Retention
Browser-stored meditation activity and toolkit form details remain until you clear them, reset the applicable feature, or your browser removes them. Account, client-portal, private coaching-form, and private meditation-share records generally remain while the account or coaching relationship is active and afterward as reasonably needed for service delivery, professional records, disputes, security, and legal obligations.
Contact, toolkit, booking, support, email, and SMS records are kept only as long as reasonably needed to deliver the request, maintain preferences and consent evidence, resolve issues, prevent abuse, document the relationship, and comply with law. Call audio and transcript files in dedicated support-recording storage are configured to expire after 90 days. A structured support report or related email record may be kept longer when needed to follow up or document the request.
Deletion from an active system may not immediately remove information from encrypted backup or disaster-recovery copies, which are isolated and overwritten on their normal schedule.
11. Your choices and privacy rights
You can use public content and reflection tools without an account, choose not to request an emailed toolkit, decline Ask Trey's optional marketing choice, unsubscribe from marketing email, decline or withdraw accountability SMS consent, clear browser data, sign out of the portal, choose not to save a reflection, and use email instead of SMS, automated chat, or calling. Reply STOP to the sending number to stop SMS and HELP for assistance.
Depending on your location, you may have rights to access, correct, delete, restrict, or receive a copy of personal information; object to or limit certain processing; withdraw consent; or appeal a privacy-request decision. Trey.Coach does not sell personal information or use it for targeted advertising.
Email trey@trey.coach to make a privacy request. We may need to verify your identity and clarify which Trey.Coach service or record the request concerns.
12. Children and security
Trey.Coach is not directed to children under 13. If you believe a child has submitted personal information, contact us so we can review and remove it where appropriate.
We use reasonable administrative and technical measures designed to protect information, including access controls and encryption provided by the hosting and storage environment. No electronic transmission or storage system is completely secure.
